Terms and Conditions

Effective Date: 8th June, 2021

Welcome to Cyd Sessions. By booking an appointment, participating in our services, using our website, or engaging with our mental health programs, you agree to these Terms and Conditions. Please read them carefully.

1. Our Services

Cyd Sessions provides professional mental health and wellness services, which may include:

  • Individual counseling and psychotherapy
  • Couples counseling
  • Group therapy
  • Employee Assistance Program (EAP) services
  • Mental health education and training
  • Coaching and wellness programmes (where applicable)

Services are provided by qualified professionals within the scope of their competence.

2. Appointments

Appointments are scheduled in advance and are subject to availability.

Clients are expected to arrive on time. Late arrival may reduce the available session time without a reduction in the session fee.

3. Fees and Payments

Fees are communicated before services are provided. Payment is required before session commencement.

4. Cancellation and Missed Appointments

Session to session arrangements can be canceled at any time with at least 8 to 12 hours notice prior to an arranged session. If you miss an appointment without notice, or cancel a session with less than 8 to 12 hours notice, you will be billed 50% the full fee for that session.

Repeated missed appointments may lead to discontinuation of services.

5. Confidentiality

Information shared during therapy is confidential and handled in accordance with applicable laws, professional ethical standards, and our Privacy Statement.

Confidentiality may be limited where disclosure is required by law or where there is a serious and immediate risk of harm to the client or another person.

6. Client Responsibilities

Clients agree to:

  • Provide accurate and complete information.
  • Participate honestly in the therapeutic process.
  • Inform Cyd Sessions of changes in contact information or relevant health information.
  • Treat staff and other clients respectfully.

Abusive, threatening, discriminatory, or violent behaviour may result in immediate termination of services.

7. Online Therapy

Where therapy is provided remotely:

  • Clients are responsible for ensuring they have a private and appropriate environment.
  • Clients should use a secure internet connection where possible.
  • Technical interruptions may occasionally occur and alternative arrangements may be made if necessary.

8. Emergencies

Cyd Sessions does not provide emergency or crisis intervention services.

If you believe you or another person is in immediate danger, contact your local emergency services or proceed to the nearest hospital without delay.

9. Therapeutic Outcomes

Psychotherapy is a collaborative process. You have knowledge about your own life, and we have knowledge and expertise about the therapeutic process. We expect you to be actively involved in this process as you work toward your goals. We have found that clients benefit most from the therapy process if they are willing to take responsibility for decisions regarding the change they want to see. The practitioner cannot take this responsibility for you.

10. Intellectual Property

Materials provided by Cyd Sessions, including assessments, handouts, training materials, videos, and website content, remain the intellectual property of Cyd Sessions unless otherwise stated.

They may not be copied, reproduced, or distributed without written permission.

11. Limitation of Liability

To the fullest extent permitted by applicable law, Cyd Sessions shall not be liable for indirect, incidental, or consequential losses arising from the use of its services, except where liability cannot legally be excluded.

Nothing in these Terms limits rights that cannot lawfully be excluded.

12. Changes to These Terms

Cyd Sessions may update these Terms and Conditions from time to time. Updated versions become effective upon publication through our official channels.

13. Governing Law

These Terms and Conditions shall be governed by and interpreted in accordance with the laws of the Federal Republic of Nigeria.

By booking or receiving services from Cyd Sessions, you acknowledge that you have read, understood, and agree to these Terms and Conditions.

Refund Policy

1. Clients are entitled to a full refund when they cancel a pre-booked session 8–12 hours prior to commencement of the booked session.

2. Instant termination of an ongoing block plan or monthly subscription procured will attract the following charges and surcharges:

A. Sessions Consummated

Already consummated sessions will be billed as individual sessions, no longer as subscription-based (for Monthly, Couples counseling and other discounted retainerships).

B. Administration Fee

Applies for subscription-based plans: this is 25% of full fee paid. It covers the administrative process of creating client-specific intervention plans and pre-planning the entire therapeutic schedule.

C. Cancellation Fee

This is 10% of the entire bill.

Privacy Statement

At Cyd Sessions, we recognize that trust is the foundation of effective mental health care. Protecting your privacy and safeguarding your personal information are central to our practice. We are committed to handling your information with confidentiality, professionalism, and in accordance with applicable laws and ethical standards.

Information We Collect

We may collect personal information including your name, contact details, age, emergency contact information, historical view, and any information you voluntarily share during therapy or through our website.

Why We Collect Your Information

We collect your information to:

  • Provide safe and effective psychotherapy and mental health services.
  • Schedule and manage appointments.
  • Maintain accurate clinical records.
  • Communicate with you regarding your care.
  • Comply with legal, regulatory, and professional obligations.
  • Improve the quality of our services.

Confidentiality

Information shared during therapy is treated as confidential. We do not disclose your personal or clinical information without your consent except where disclosure is required or permitted by law or professional ethical obligations. These situations may include:

  • Where there is an immediate risk of serious harm to you or another person.
  • Where abuse or neglect must be reported under applicable laws.
  • Where disclosure is required by a court order or other lawful authority.
  • Where you provide written authorization for us to share your information.

Whenever possible, we will discuss such disclosures with you before they occur.

Data Security

We implement appropriate administrative, technical, and physical safeguards to protect your personal information from unauthorized access, alteration, disclosure, or destruction. Access to client information is limited to authorized personnel who require it to provide services.

Your Rights

Subject to applicable law, you may have the right to:

  • Request access to your personal information.
  • Request correction of inaccurate information.
  • Withdraw consent where processing is based on consent.
  • Request deletion of information where legally permissible.
  • Ask questions about how your information is used.

Online Services

If you use our website or virtual therapy services, reasonable measures are taken to protect electronic communications. However, no internet-based transmission or storage system can be guaranteed to be completely secure.

Data Retention

We retain client records only for as long as required by applicable laws, professional standards, and legitimate clinical purposes. When records are no longer required, they are securely disposed of.

We may update this Privacy Statement periodically to reflect changes in legal requirements or our services. The most current version will always be available through our official communication channels.
